About the Role

 

Reporting to the Global Head of Portfolio Marketing and Market Development in London, this role will support the team and oversee all office administration activities in one of the fastest growing offices in the Woodside portfolio. 

 

Maintain Office Management Systems:

  • Ensure office security is maintained, and oversee office service providers
  • Arrange entertainment & events, in accordance with Code of Conduct
  • Ensure documentation is managed and stored in accordance with Woodside guidelines
  • Facilitate internal/external meetings
  • Manage the office access control system
  • Complete the annual country office self-assessment

 

Office Operations & Facilities Management

  • Oversee office facilities, ensuring a safe and well-maintained workspace
  • Manage office supplies, equipment and procurement, supplier contracts, coordinating with vendors for maintenance and services
  • Serve as the point of contact for building management and external service providers
  • Manage employee onboarding
  • Act as the UK Immigration Authorising Officer on behalf of Woodside Energy (UK) Ltd
  • Support with building lease and related matters
  • Support with ad hoc IT requests, IT equipment requests and orders, including the procurement of laptops, monitors etc
  • Manage the UK mobile phone account

 

Duties and Responsibilities

 

Health & Safety

  • Support delivery of the in-Country Emergency Plan
  • Ensure the Woodside security system (Everbridge) is regularly updated to maintain an accurate record of all London-based staff
  • Conduct monthly office health and safety inspections, including annual fire risk assessment
  • Organise regular first aid and fire safety training courses

 

Financial Management & Accounting

  • Facilitate the quarterly VAT return reconciliation process for general office corporate credit card expenditure
  • Manage the onboarding of new vendors, create PR/P0s and MPRs, and handle SAP approval processes to ensure timely processing of Service Entry Sheets and payments
  • Facilitate the completion of the annual office general budget forecast
  • Organise payment of the annual data protection fee for UK entities

 

Administrative Support

  • Meet and greet visitors, ensuring a professional and welcoming office environment
  • Provide ad hoc support to senior Woodside executives visiting London
  • Organise corporate events, team-building activities and employee celebrations
  • Organise in-house catering and ad hoc external client lunches
  • Order stationary supplies

 

Skills and Experience

 

We are looking for an experienced office manager who is comfortable working in a fast-paced, corporate environment. This role will interact with senior executives both from within Woodisde and external stakeholders. You'll bring a positive and upbeat energy, combined with a high degree of professionalism and discretion.

You will be able to demonstrate previous office management experience, ideally with exposure to a global operating environment.

Experience with SAP or other large ERP systems is required. You will have strong digital literacy across all MS Office products, and experience in the oil and gas sector will help you succeed in this role.
