About the Role:

 

Woodside is a dynamic and expanding organisation, and we’re currently recruiting for Management Assistant roles to support our leadership teams and contribute to our continued success.

 

We have both part-time and full-time opportunities available, including job-share arrangements. Roles are offered on an initial 12-month contract based at our global headquarters in Perth, Western Australia, with potential for extension or transition to a permanent position.

 

In these roles, you’ll play a key part in enhancing operational efficiency and providing high-level administrative support. Responsibilities include managing calendar commitments, inbox correspondence, travel arrangements, filing systems, and office priorities—ensuring smooth daily operations and effective time management for senior leaders.

Duties & Responsibilities:

 

  • Provide high-level administrative support to senior leaders, including diary, inbox, email and travel coordination to ensure smooth daily operations.
  • Arrange and manage meetings, workshops and events, including logistics, agendas, materials and catering.
  • Prepare reports, presentations and documents; maintain confidential records and support team and departmental initiatives.
  • Manage onboarding and induction for new starters, including access setup, starter packs and performance tracking.
  • Process expenses, approvals, service entries and purchase requisitions accurately using SAP and other internal systems.
  • Act as a focal point for internal systems and processes including FMS, WiRCS, JiRA, PDL, timewriting and office maintenance.
  • Provide administrative coverage across teams and support the Executive Assistant network during leave periods.
  • Promote collaboration and efficiency by engaging regularly with administrators across the business.

Skills & Experience:

 

  • 4–6 years of administrative or executive support experience in a large corporate environment, ideally within the oil and gas sector.
  • Proven ability to work independently with integrity, discretion, and sound judgement.
  • Strong organisational skills and ability to manage competing priorities under pressure.
  • Excellent interpersonal and communication skills, both verbal and written, with a demonstrated ability to build high-trust relationships.
  • Advanced proficiency in Microsoft Office 365, particularly Outlook, Word, Excel, and PowerPoint.
  • Experience using SAP for purchasing tasks (e.g. creating purchase orders, service entries), with exposure to S4Hana, SuccessFactors, JIRA, and document management tools.
  • Familiarity with regulatory compliance and risk systems; experience with Power BI is advantageous.
  • Analytical mindset with strong problem-solving skills and a focus on continuous improvement.
